The Pacific Northwest Library Association (PNLA) is seeking an ExecutiveDirector/Conference Coordinator
Format: Part-time, work-from-home
Compensation: $600 per month
Hours: Approximately 10 hours per week
Start Date: January 1, 2027 (with orientation in December 2026)

Duties of the Executive Director
Membership Support
- The Executive Director will monitor and maintain membership records for the association through Wild Apricot in conjunction with the Second Vice President of PNLA.
Fiscal Support
- Act as fiscal agent for PNLA, including receiving and depositing PNLA funds and disbursing funds as directed by the Executive Board and annual budget.
- Process member expense reimbursements and maintain accounts payable, accounts receivable, and other financial records.
- Work with the Executive Board and Secretary-Treasurer to establish and monitor the annual PNLA budget.
- Provide regular financial reports to the Executive Board, including the annual end-of-year financial report.
- Maintain and file federal, state, and other required business reports.
- Administrative & Board Support
- Manage PNLA communications and maintain contact information for officers, representatives, committee members, and support staff, as applicable.
- Attend PNLA Board meetings and take minutes in coordination with the Secretary.
- Maintain current Board records, correspondence, communications, and archival materials in accordance with PNLA guidelines.
- Update and maintain the PNLA Handbook, Bylaws, and other organizational documents in consultation with the Executive Board, and distribute them to incoming officers.
- Provide administrative support to PNLA and Board activities.
- Perform other administrative duties as assigned by the Executive Board.
Conference Coordination
- The Executive Director serves as Conference Coordinator and works with the Conference Planning Committee to ensure continuity and efficient planning of PNLA's annual conference.
- The Executive Director will not determine program content.
- Conference Planning & Budget: Work with the Past President and Conference Committee to finalize the conference budget and support the annual planning cycle.
- Program & Speaker Coordination: Coordinate the proposal process, program selection logistics, conference scheduling, speaker contracts, travel and lodging, and speaker communications.
- Registration: Establish and maintain the registration process and database; coordinate registration materials, volunteers, and onsite registration.
- Vendors & Sponsors: Identify and communicate with potential corporate sponsors and vendors; coordinate vendor spaces and conference information.
- Facilities, Meals & Logistics: Coordinate meeting rooms, room assignments, meals, equipment, signage, printing, speaker gifts, and other conference logistics.
- Conference Communications: Gather and provide conference information for the website, program, schedule, speakers, vendors, and attendees.
- Financial & Post-Conference: Process conference payments and expenses, submit conference reports to the Board, prepare the final conference financial statement for the Executive Director's yearly report, and provide relevant information to the subsequent Conference Planning Committee.
